[Organizing Production - GCW] How to Use the Production Shelf Allocation

Written by Kyle Sawyer

The Production Shelf Allocation feature helps operators manage and track the physical location of print jobs across production and packaging areas. It ensures that every item is correctly allocated — whether it’s waiting for production, processing, or packaging — reducing confusion, errors, and time spent locating jobs on the floor.

What’s New

Previously, the Shelf Allocation page was used only for packaging.

Now, a new Production Shelf type allows you to allocate print jobs for production steps, not just packaging.

This means:

  • You can assign production shelves (e.g., heat press, printing stations) and packaging shelves separately.

  • Print jobs can now have two types of allocations:

    1. Production allocation

    2. Packaging allocation

If either allocation is missing, the job will appear as “Not Sorted”, for example, in the side view of Dispatch Overview.

Overview of Shelf Types

When creating or editing a shelf, you can now define its Type:

  • Production – for use in production processes (e.g., print, press, assembly).

  • Packaging – for use in packaging and order preparation areas.

You can also:

  • Filter shelves by type (Production or Packaging).

  • Set preferred shelves for both categories.

Example: One default shelf for production, and one for packaging. Those will be selected by ‘default’ in your Shelf Allocation page, but you can change it as you need.

Allocating a Print Job to a Shelf

Let’s go step-by-step through how allocation works.

1. Start with an Unshelved Print Job

In Dispatch Overview, open a print job that’s marked as “Not Sorted.”

This means it doesn’t yet have any production or packaging shelf assigned.

2. Scan a Print Job in the Shelf Allocation page

When a print job is scanned, the allocation process begins.

You’ll see the job automatically appear in the order list with details like:

  • Order Item Name

  • Order Item ID

  • Quantity

3. Allocate to a Production Shelf

  • Switch to the Production Shelf tab.

  • Select the desired shelf and box.

  • Confirm your allocation.

Once confirmed:

  • The selected box (e.g., “A4”) will appear on the shelf.

  • Clicking the box displays details such as:

    • Shelf name

    • Box name

    • Order Item ID

4. Allocate to a Packaging Shelf (post production)

You can also assign the same job to a packaging shelf:

  • Scan or import the barcode for the packaging shelf.

  • Confirm allocation (e.g., “B7 Box”).

Now, your print job has both:

  • A production allocation, and

  • A packaging allocation.

If one of these is missing, the job will appear in the “Not Sorted” list.

Viewing Allocations

Once allocated:

  • You’ll see the Production Allocation (e.g., Shelf A4, Box ID).

  • You’ll see the Packaging Allocation (e.g., Shelf B7, Box ID).

Each print job clearly displays where it’s located — both in production and packaging stages.

Creating or Editing Shelves

When you go to create a new shelf, you’ll notice a new Type dropdown.

  1. Choose between:

    • Production

    • Packaging

  2. Optionally, set this shelf as the Preferred Shelf for either production or packaging.

  3. Save your changes.

You can later filter shelves by type for easier navigation.

Example: Allocating at the Heat Press Station

In a Production Station (for example, the Heat Press Station):

  1. Open the assigned print job.

  2. You’ll see its current allocations:

    • Packaging: e.g., Shelf ABC, Box B6

    • Production: e.g., Heat Press Shelf A4

  3. When the operator scans the job at this station, they’ll see the relevant production shelf details right away — including:

    • Box number

    • Shelf name

    • Shelf type (Production or Packaging)

Once the step is complete, the allocation updates automatically.
