[Organizing Production - GCW] How to Configure Production Pricing for Your Customers

This article provides a comprehensive guide on how to utilize GelatoConnect's new Production Pricing Management feature. This feature allows users to create, assign, and manage production pricing templates tailored for individual customers, streamlining invoicing processes and minimizing manual tasks.


Creating a Production Pricing Template

To begin, follow these steps to create a reusable production pricing template:

  1. Go to Pricing Template

    • In GelatoConnect Workflow (GCW), navigate to the Workflow > Configuration > Pricing Template menu item.

    • Alternatively, search for “Pricing Templates” in the menu tab to access the configuration page.

  2. Click “Add Pricing Template”

    • Name your template (e.g., Acrylic Products Pricing).

    • Choose a product model (e.g., Acrylic).

  3. Configure Pricing Structure

    • Define the pricing logic using product attributes.

    • Select from dimensions like Format, Size, Thickness, Color type, etc.

    • You can nest attributes in your preferred order. For example:

      • Format → Size → Thickness

      • Thickness → Format → Size

  4. Select Attribute Values

    • Choose exact values that apply to this template. For example:

      • Thickness: 4mm, 8mm, etc.

      • Format: 300x450-mm, 400x500-mm, etc.

  5. Set Packaging Options

    • Packaging material and label defaults will be pre-filled.

    • You can choose:

      • Fixed pricing (used by default)

      • Percentage-based pricing (e.g., markup from inventory costs)

  6. Save the Template

    • Your template will now be available for customer assignment.


Assigning the Template and Defining Customer-Specific Prices

Next, assign the created template to a customer and define specific prices:

  1. Select a Customer

    • Navigate to the Customers menu item.

    • Choose the customer you want to configure pricing for (e.g., Acme Corp).

  2. Open Pricing Configuration

    • In the customer page, navigate to the Pricing Configuration tab.

  3. Assign Templates

    • Select templates relevant for this customer (e.g., Mugs, Canvas, Acrylic).

    • Pricing will display according to the attribute structure you defined.

  4. Set Prices Per Required Items

    • Define prices for each item and attribute combination.

    • Skip items if no price is agreed (they will not be applied).

    • Specify the start date for pricing to become effective.

      • Default is the next day.

      • Future dates are allowed.

      • Past dates are not supported.

  5. Save the Configuration

    • Pricing becomes active from the selected date.

    • All changes are saved and versioned for audit tracking.


Reviewing and Managing Pricing Versions

Finally, manage and review your pricing versions:

  1. Access Version History

    • Go to the Pricing Configuration tab for the customer.

    • Click on Version History to view past changes.

  2. Update Prices

    • To change prices, simply create a new version.

    • Edit relevant items and save — the system will maintain all historical versions.


Bulk Price Copy - Copying Pricing Between Customers

GelatoConnect allows you to copy an existing pricing configuration from one customer to multiple other customers within the same tenant. This helps reduce manual setup time and ensures consistent pricing when onboarding new customers.

This feature is available for Production Pricing configurations in GCW and applies only within the same PSP tenant.

When to Use Bulk Price Copy

Use bulk price copy when:

  • You are onboarding multiple customers with the same or very similar pricing.

  • You want to replicate an existing customer’s pricing as a starting point.

  • You want to apply a consistent margin adjustment across copied prices.

How to Copy Pricing Between Customers

Select the Source Customer

  1. Navigate to Customers.

  2. Open the customer that already has a completed pricing configuration.

  3. Go to the Pricing Configuration tab.

  4. Select the pricing configuration you want to copy.

Start Bulk Copy

  1. Click Copy Pricing.

  2. Choose one or more target customers within the same tenant.

  3. (Optional) Enter a margin adjustment percentage to apply to the copied prices.

The margin is applied consistently across all copied price values. Percentage-based material pricing remains unchanged.

Preview Prices

  1. Review the price preview before applying changes.

  2. The preview shows:

    • Original price

    • Applied margin (if any)

    • Final calculated price

  3. Expand the tree view to verify prices across products, dimensions, and packaging services.

No changes are applied at this stage.

Confirm and Apply

  1. Confirm the copy operation.

  2. A new pricing configuration is created for each selected customer.

  3. Pricing becomes active based on the effective date defined in the configuration.

All copied configurations are versioned and tracked independently.

Important Notes

  • Each customer receives their own pricing configuration after the copy.

  • Copied pricing can be edited independently after creation.


FAQs

Can I assign one template to multiple customers?
Yes. You can reuse pricing templates across customers to reduce setup time.

Can I update only part of the pricing structure?
Yes. You can skip any SKUs without agreed pricing and version only what’s needed.

Can I use past effective dates?
No. Only present and future dates are supported for new pricing configurations.

Can I change pricing template structure?
Yes, it will be applied in the next version.

Does this change the pricing model?
No. The pricing structure and logic remain unchanged.

Can I copy pricing and adjust it later per customer?
Yes. After copying, each customer’s pricing can be edited and versioned independently.
