What the AI Configurator Can Do
The AI Configurator is built on Gelato's Agentic network and trained on Gelato's proprietary data and AI models. It can help you configure:
Substrates and Papers — Import your entire paper library, including stock names, sizes, weights, coatings, and pricing. The agent understands print industry substrate data and will convert units, map fields, and resolve formatting inconsistencies automatically.
Machines and Equipment — Configure your printing presses (offset, digital, large format) and all post-press equipment. The agent reads your data — even from screenshots — and maps it to the correct machine tabs and parameters.
Products and Categories — Set up your product categories, production workflows, and finishing steps based on your existing product data.
Pricing and Markup Rules — Define your pricing logic, markups, and pricing rules from the data you already have.
Supported File Types
The AI Configurator can process a wide range of input formats:
PDF documents (e.g., MIS exports, equipment spec sheets, supplier price lists)
CSV and Excel files (e.g., paper inventories, machine lists, pricing tables)
Screenshots and images (e.g., captured from your current MIS or supplier portals)
Text files (e.g., notes, copied data, informal lists)
If you're unsure whether a file will work, try uploading it — in most cases the agent will handle it.
How to Use the AI Configurator
Step 1: Open the AI Configurator
Log into GelatoConnect and navigate to Estimate Configuration. Click Start AI Configurator, then select Try Chat Mode to enter the conversational interface.
Step 2: Select What You Want to Do
The configurator will ask what you'd like to work. Describe what you want to do, you can also use simple terms like “Please add this for me” and attach a set of files.. You can also ask questions about your existing configuration or get help understanding how the system works.
Step 3: Upload Your Files and Let the Agent Work
Drag in your file - whether it's a spreadsheet with 500 substrates, a PDF from your paper supplier, a screenshot from your current MIS or 20 different files that contain all info about your current setup. The agent will:
Read and interpret your data, regardless of its original format or structure
Map it to Gelato's data model, converting units, field names, and pricing formats as needed
Flag any issues it finds - such as possible typos in machine names, incomplete data, or values that look inconsistent
Present the results for your review before importing
Step 4: Review and Import
Once the agent has processed your data, you can review the results before committing. The mapped data will appear as a preview — you can scroll through and spot-check individual entries if you'd like, but you can also import directly and review within the configuration sheet afterwards.
After you confirm the import, the data is written directly into your configuration sheet. There's no additional step required to sync — it's already in place.
Working with Multiple Files
You don't have to process one file at a time. The AI Configurator can accept multiple files simultaneously — for example, a paper inventory spreadsheet and a separate pricing sheet from your supplier. The agent will consolidate the data and produce a unified configuration.
This is particularly useful when your production data is spread across many different documents, which is common when migrating from legacy systems or consolidating data from multiple sources.
Tips for Best Results
Start with substrates and machines. These are the foundational data sets that your products reference. Configuring them first ensures everything links correctly when you set up products later.
Don't worry about formatting your data first. The agent is trained to handle messy, inconsistent, and improperly structured data. Let it do the interpretation work — that's what it's designed for.
Use screenshots when that's what you have. If your data lives in a system you can't easily export from, a screenshot works. The agent can read and extract structured data from images.
Review the agent's flags. When it highlights a potential issue, take a moment to confirm or correct. Catching a misspelled machine name during import is much easier than debugging a routing failure later.
You can always come back. Configuration is not an all-or-nothing process. Import your substrates today, your machines tomorrow, and your products next week. The agent picks up where you left off.
After Importing
Once your data has been imported via the AI Configurator, it lives in your standard configuration sheets (Machine & Substrate Setup and Product Setup). You can review, fine-tune, or manually adjust anything the agent imported, just as you would with data you entered yourself.
