[Getting Started - AI-Estimator] Step 2: Create Your First Estimate with the AI Assistant

Before you dive into customizing costs and products, this step lets you experience the AI-Estimator using the pre-configured template that comes with your account. This helps you understand how the final system will work for your sales and estimation teams.

Four Ways to Create an Estimate

The AI agent is designed to understand print jargon and customer requests as they are written, minimizing manual data entry.

1. Copy and Paste Text

  • Simply copy the text from a customer's email or message.

  • Paste it directly into the AI chat interface and press go.

  • The AI will parse the information and populate the estimate fields in seconds.

2. Use a Screenshot

  • Take a screenshot of the customer's request from an email or website.

  • Use the file attachment button in the AI chat to upload the image file, or simply copy and paste the image into the chat box.

  • The AI will process the image, extract the text, and create the estimate.

  • If information like size is missing, the AI will ask for clarification and suggest the most popular option.

3. Attach a PDF File

  • If you receive a formal Request for Quotation (RFQ) as a PDF, you can attach the file directly using the file attachment option.

  • The system will process the PDF, extract the relevant specifications, and populate the estimate automatically.

4. Multi-product estimate

  • From the Manage Estimates page, you can create estimates that include multiple products. Use the dropdown next to "Create new estimate" and select "Create multi-product estimate." By default, AI Estimator quotes one product per estimate, but with this option you can handle anything from a two-product quote to a full tender or RFQ with dozens of products via Excel upload. Important Considerations

  • Unsupported Files: Currently, Excel files are not supported in single product estimates. Please take a screenshot of the Excel sheet instead.

  • Configuration is Key: The AI can only quote for options (like a spot finish) that have been configured in the setup sheets. If a requested finish is not in the system, it will not be added to the quote.
